Privacy Policy

This policy explains what personal information Lykido Applied Intelligence, LLC ("Lykido", "we", "us") collects through lykido.ai and the services reachable from it (the "Site"), how we use it, who we share it with, and the choices you have. It applies to visitors, prospective clients, job applicants, and clients using the client portal.
We are a small advisory firm. We do not run advertising, we do not sell personal information, and we do not use your information to build profiles for anyone else. Most of what we collect is what you type into a form so that we can reply to you.
1. Information we collect
Information you give us. Depending on how you use the Site, this may include:
- Contact form: your name, email address, organization, and the message you send.
- Careers applications: your name, email address, phone number, resume, and any answers or materials you submit with an application.
- Meeting booking: your name, email address, the time you choose, and any note you add.
- Client portal: your name, email address, title, and the actions you take on documents we share with you, including signatures.
- Correspondence: anything you send us by email or through the Site after an initial contact.
Information collected automatically. When you visit the Site, our servers record standard technical information: your IP address, browser type, the pages you request, the time of the request, and the referring page. This is ordinary web server logging, used to keep the Site running and secure. We do not use third-party analytics or advertising trackers on the Site.
Cookies. The Site uses a session cookie when you log in to the client portal or an operator account, so that you stay logged in while you work. We do not use cookies for advertising or cross-site tracking.
Signature evidence. When you sign a document through the Site, we record the time of signature, your IP address, and your browser's identification string alongside the signed document. This record is kept as evidence that the signature occurred and is not changed afterward.
2. How we use information
We use the information above to:
- respond to your inquiry and carry on a conversation with you about our services;
- evaluate job applications and communicate with applicants;
- schedule and hold meetings you book with us;
- share documents with clients, collect signatures, issue invoices, and record payments;
- operate, secure, and improve the Site, including detecting abuse and automated submissions;
- keep business and accounting records we are required or reasonably need to keep;
- comply with law and enforce our Terms of Use.
We do not use your information for advertising, and we do not send marketing email without your agreement.
3. How we share information
We do not sell or rent personal information. We share it only as follows:
- Service providers. Companies that host our servers, store files, deliver email, and provide calendaring and accounting software process information on our behalf and under our instructions. Today these are Amazon Web Services (hosting and file storage), Google (calendar and meeting scheduling), our email delivery provider, and Intuit QuickBooks (our own bookkeeping, which may include client billing contact details). These providers may only use the information to provide their service to us.
- Clients. If you are a contact at a client organization, we may share your information with others at that organization in the ordinary course of the engagement.
- Legal requirements. We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Lykido, our clients, or others.
- Business transfers. If Lykido is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that transaction, subject to this policy.
4. Your choices
- You can use most of the Site without giving us any personal information.
- You can ask us to correct or delete information we hold about you by emailing hello@lykido.ai. We will honor the request unless we need to keep the information for a legal, contractual, or record-keeping reason (for example, a signed agreement and its signature evidence, or an invoice).
- You can decline cookies in your browser settings, with the result that portal login will not work.
- You can withdraw a job application at any time by emailing us.
5. Residents of California and other US states
Some US states give residents specific rights over their personal information, including the right to know what we collect, to request deletion, to correct inaccuracies, and to opt out of the sale or sharing of personal information for targeted advertising. We do not sell personal information, and we do not share it for targeted advertising, so there is nothing to opt out of. To exercise any other right, email hello@lykido.ai with your name and the email address you used with us. We will verify the request by confirming control of that email address and respond within the time the applicable law allows. You may authorize someone to make a request for you; we will ask for evidence of that authorization. We will not treat you differently for exercising these rights.
For California residents, the categories of personal information we have collected in the preceding twelve months are: identifiers (name, email, phone, IP address), professional information (organization, title, resume contents), and internet activity (server log entries). The sources are you and your browser. The business purposes are those listed in section 2. The categories of recipients are those listed in section 3. We have not sold or shared personal information.
6. Visitors outside the United States
The Site is operated from the United States, and information you provide is stored and processed there. If you are in the European Economic Area, the United Kingdom, or another jurisdiction with data protection law, our legal basis for processing is the performance of a contract or steps you ask us to take before one (client and applicant information), our legitimate interest in running and securing the Site and responding to you (logs, contact form), and compliance with legal obligations. You may have rights to access, correct, delete, restrict, or port your information, and to object to processing. Email hello@lykido.ai to exercise them.
7. Children
The Site is for businesses and adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.
8. Security
We use reasonable administrative and technical safeguards: encrypted connections to the Site, credentials stored in a managed secrets service rather than in files, access limited to the people who need it, and signature records that cannot be edited after the fact. No system is perfectly secure, and we cannot guarantee that information will never be accessed without authorization.
9. Retention
We keep information as long as needed for the purpose it was collected and for any period required by law or by our record-keeping needs:
- Contact inquiries: as long as the conversation is active, then as part of our business records.
- Job applications: for the life of the requisition and a reasonable period afterward, unless you ask us to delete them sooner.
- Client documents, signatures, and invoices: for the duration of the engagement and the retention period for business and tax records, generally seven years.
- Server logs: a short rolling window, typically no more than ninety days.
10. Links to other sites
The Site may link to sites we do not operate. Their privacy practices are their own, and this policy does not cover them.
11. Changes to this policy
We may update this policy. We will post the new version here with a new effective date. If a change materially affects how we use information we already hold about you, we will make reasonable efforts to tell you, for example by email.
